PRODUCT CREATIVE / PRODUCTION AND HANDOFF
Why is an InDesign catalog copy still outdated after I changed its linked source item?
Check the placed item's link status before rewriting its text. A source page item and its linked copies are separate objects: a changed parent flags the copies for updating. Decide whether the local wording should follow that source, because accepting an update can overwrite local edits.
Identify the linked page item, not a merge field
Adobe's Edit, Place and Link creates a linked copy of selected content. A parent change produces a Modified icon on the frame and in Links. Open Window, Links and double-click the Modified icon to update. Local changes can be overwritten.
Here, parent means the source page item. It does not mean a Data Merge parent-page placeholder, and updating a spreadsheet connection is not the operation described here. First select the actual placed item and establish which source it follows.
A catalog may contain a shared product description, an independent promotion and ordinary copied text on the same page. Similar appearance does not establish the same update relationship. Identify the object that is wrong before applying a broad correction.
Illustrative exercise A: propagate an approved shared correction
A fictional travel-mug description is reused in a main catalog and a compact leaflet. The approved source description changes the included-accessory wording. Both copies are intended to follow this correction.
Inspect the linked item in each layout, compare its current wording with the source and check for Modified status. Update the intended linked content, then compare the resulting sentence with the approved correction. Do not assume a source edit has already changed every visible copy.
Check the compact leaflet's line endings and nearby price after the update. A longer accessory explanation can be accurate yet no longer fit that placement. Resolve the layout without silently removing the qualification that motivated the correction.
Illustrative exercise B: reconcile a local translation first
Another catalog contains a locally approved translation and a campaign-specific invitation. The source receives a general marketing rewrite. An update request now raises a different question: which shared facts should change, and which local expressions should remain?
Compare the source revision with the approved local text before accepting the update. Preserve the local wording as a review reference and identify any factual correction that must reach the translation. Do not treat a fluent local sentence as permission to retain an outdated specification.
Conversely, do not overwrite an approved translation simply because the source has Modified status. Resolve the intended source-versus-local treatment, then apply and review the chosen content deliberately. The cited current instructions do not supply a Preserve Local Edits switch or promise automatic reconciliation.
Read the changed copy in its actual layout
For a shared correction, compare all intended linked placements. For a local exception, check both the retained meaning and any newly required facts. Look at product identity, accessory wording, language and text capacity together; a clean link status alone does not settle those questions.
If one placement still differs, inspect its actual object and source relationship rather than repeatedly editing the approved master. The visible mismatch should determine the next investigation.
These illustrative exercises involved no InDesign operation, merge, link update, export, printing or publication test. No Itemlume integration is claimed.
Illustrative exercise: shared source correction versus localized copy decision
These are illustrative exercise rows. Save a copy and record your own observations; the example is not an executed acceptance test.
| Fictional change | Linked object's purpose | Decision branch | Concrete comparison | Layout check |
|---|---|---|---|---|
| A: Included-accessory wording corrected | Catalog and leaflet should follow the shared source | Inspect Modified status and update intended linked items | New wording matches the approved parent correction | Compact placement retains the full qualification |
| B: General marketing rewrite reaches a translated catalog | Local language and campaign invitation are deliberately approved | Reconcile shared facts and local wording before accepting update | Required facts are current without unapproved translation loss | Product identity, meaning and readable text capacity |
Sources and further reading
Recorded source-review dates are listed individually below. An undated source does not inherit the article’s publication date. Software and platform rules can change; check the current original before acting.
Frequently asked questions
Is this the same as updating a previously merged catalog?
No. This workflow concerns page items created through Place and Link and their Links status. Data Merge source and parent-page field updates have a different object and command.
Will updating a linked item always preserve its translated local wording?
Do not assume so. The current documentation warns that updates can overwrite local edits. Reconcile the source correction and approved local treatment before accepting the change.
