DECISION GUIDE / Assets & tasks

How do I summarize customer complaints without turning them into marketing praise?

A customer complaint should remain a complaint when AI summarizes it. Preserve the reported defect, frequency, requested remedy, and unresolved status instead of converting negative feedback into a positive improvement suggestion. Build an internal issue record separately from marketing content, remove unnecessary personal information, and exclude the complaint from promotional reuse unless a distinct, properly reviewed purpose is established.

01 / DECISION GUIDE

Preserve the complaint's operational meaning

Internal complaint summaries help teams understand reported problems and determine follow-up actions. They are not promotional testimonials. Unlike shortening a public review, this workflow must preserve the issue's severity, negation, repetition, and resolution state for internal handling.

Fictional exercise: a customer message says, 'The lid leaked twice; refund requested.' An AI rewrite suggests, 'Customers recommend improving the lid.' That changes the meaning. It removes the reported leakage, the two occurrences, and the refund request.

The original message reports two incidents from one fictional customer, not two independent customer complaints. It also does not establish that a refund was issued or that the defect affects other units.

02 / DECISION GUIDE

Code the issue without softening it

Create separate fields for the reported symptom, occurrence count, customer request, investigation status, and follow-up owner. Record what the customer said without presenting the allegation as a verified engineering finding.

Severity should reflect the reported impact and the team's actual escalation assessment. Do not invent physical harm or assume that the refund request has been resolved. Remove unnecessary names, contact information, and order identifiers from working examples.

03 / DECISION GUIDE

Keep internal issue coding separate from marketing

A complaint may reveal a useful product problem without becoming material for an advertisement. Add an explicit marketing-eligibility field to the internal record. For the fictional leakage complaint, mark it 'Excluded from marketing.'

Do not turn the complaint into invented praise such as 'Customers appreciate our continuous improvements.' An internal issue summary does not establish customer approval, product improvement, or successful resolution.

Prepare any internal summary within the team's authorized private process, using a separately approved AI tool only where its privacy and data-use terms permit. Itemlume has no dedicated complaint-intake or complaint-summary workflow. The manual worksheet does not verify complaints, investigate defects, or determine marketing permissions.

  1. Preserve the original message in the authorized private system.
  2. Create a redacted working copy without unnecessary personal details.
  3. Extract the reported symptom, occurrences, requested remedy, and known status.
  4. Compare the AI summary with the original for lost negatives or softened meaning.
  5. Assign an internal owner and explicitly exclude the record from marketing reuse.
  6. Route unresolved issues through the team's established follow-up process.
04 / DECISION GUIDE

Review resolution claims before any later reuse

If the product team later changes the lid, that action does not retroactively prove the customer's issue was resolved. Keep the reported problem, investigation findings, remedy decision, and subsequent actions as distinct records.

FTC materials address fabricated consumer opinions. This editorial separation is not a determination of legal permission or a summary of a specific case.

Before any separate public use, the responsible owner must assess factual accuracy, actual permissions, privacy, and context. If those matters remain unresolved, retain the record internally and do not convert it into a testimonial or improvement claim.

QUESTIONS, ANSWERED

Frequently asked questions

Can AI rewrite 'the lid leaked twice' as 'the customer suggested a better lid'?

No. That removes the reported defect and repetition. Preserve the complaint's meaning while keeping unverified causes separate.

Can a resolved complaint later become a positive customer testimonial?

Not automatically. A remedy does not establish customer praise or permission. Any public use requires separate factual and authorization review.
