DECISION GUIDE / Assets & tasks
How do I track mockup use when a supplier relationship or subscription ends?
A subscription ending does not automatically revoke every previously licensed use, and keeping a downloaded mockup does not automatically preserve permission. Review the actual asset and applicable terms, including any continuing-use conditions. Map the affected campaigns and assign a replacement owner only where a real restriction or unresolved right requires action.
Identify the event and the licensed asset
Fictional exercise: Supplier A's relationship with a merchant ends while a seasonal campaign still uses its product mockup. The team retains the image but has not retrieved the applicable terms. Neither permanent permission nor automatic expiry has been established.
This is a later-use review, rather than the initial question of whether a supplied photo may be published. Record the actual ending event, asset identifier, license or agreement version, and existing use. A download date alone does not establish the license scope.
Separate access from continuing permission
Ask the authorized rights reviewer which provisions govern continued display, new campaigns, derivatives and third-party handoff. Adobe Stock is an example of provider-specific licensing; its guidance cannot determine Supplier A's agreement. Do not invent a universal grace period.
The decision must distinguish losing account access from losing a particular use right. If relevant terms cannot be located, record uncertainty and escalate rather than declaring the image unrestricted.
| Question | Fictional record | Required evidence | Decision |
|---|---|---|---|
| Existing campaign may continue? | Terms missing | Applicable continuing-use provision | Unresolved |
| New campaign allowed? | Not reviewed | Actual scope and conditions | Hold new use |
| Supplier file access ends? | Relationship ending | Confirmed access arrangement | Plan authorized retrieval only |
| Replacement needed? | Not yet established | Rights decision and affected placements | Assign after review |
Map the real placements before replacing
List each known product page, advertisement and approved derivative using the asset. Identify the person who controls that destination and the owner of any replacement. Do not include account credentials or private contracts in the public worksheet.
Where replacement is required, select an independently authorized asset and review whether it accurately depicts the current product. An AI redraw or background change does not automatically resolve the source restriction. Itemlume does not administer licenses or remove files from external campaigns.
- Retrieve the actual asset and permission record.
- Describe existing and proposed uses separately.
- Obtain the authorized rights decision.
- List affected destinations and publication owners.
- Verify any required replacement at each live placement.
Close the decision with actual evidence
Retain the reviewed terms privately and record the permitted scope, unresolved questions and any real end date. A replacement ledger is a coordination tool, not legal clearance or an automated takedown service.
For the fictional supplier, the outcome remains undecided until the actual agreement is reviewed. Do not delete business records merely because a campaign changes. Reopen the review if another recipient, territory or use is proposed, even when the same image remains downloadable.
Record the decision in a manual worksheet
Manual Mockup Continuing-Use and Replacement Record
The download contains fictional practice rows. Actual evidence and release decisions are blank for you to fill in. This manual record does not inspect products, update a store or certify compliance. Keep private material out of public copies.

Frequently asked questions
Does cancelling a subscription mean every old campaign must stop?
Not automatically. Review the actual terms and the particular use; do not borrow another provider's rules.
Can I generate a similar image to avoid checking the supplier terms?
No automatic permission follows from regeneration. Review the authorized source, proposed derivative and any independently permitted replacement.
